Job Purpose:To manage the SAP Workflow System Support Portfolio through multiple teams with short, medium and long-term strategic horizon. This role requires providing adequate and relevant information to Business Partners including Finance, Property, Procurement , HR community and Client Employees

Job Purpose:
To manage the SAP Workflow System Support Portfolio through multiple teams with short, medium and long-term strategic horizon. This role requires providing adequate and relevant information to Business Partners including Finance, Property, Procurement , HR community and Client Employees. The portfolio of system support includes the following:
Systems Workflow Management:

Manage and co-ordinate background jobs for error detection and ensure successful deadline monitoring. 


Analyse and resolve Workflow Agent Errors for entire group. Determine the root cause analysis of recurring operational issues. 


Manage Workflow Data Archiving to ensure optimal use of the Workflow Information System. 


Monitor and maintain performance of the workflow management system. 


Assist with customized configuration of new workflow tasks and strategies. 


Formulating of workflow processes and procedures. 


Responsible for the maintenance of workflow approval structures for all business units. 


Ability to work with the business requirements and develop SAP workflow designs 


Comfortable working with functional analysts at a functional level, as well as developers at a technical level 


Strong written and verbal skills 


Good knowledge of different SAP modules like Ariba, VIM and ECC - FI 


Monitor technical workflow logs and errors reports within the SAP applications in order to find any processes requiring fixing 


Fix incorrect data or request data update from the functional team. 


Analyse each failed workflow 


Perform pro-active checking of the key workflow routing data 


Clarify approval processes to end users and business stakeholders as required 


Escalate technical issues where those are causing workflow processes to fail 


Work with the technical support to report and resolve any program related error with the workflow process 


Work with the functional teams to fix data issues or to re-assign responsibilities for approval 


Establish and maintain cross functional workflows (functional and technical) 


Continuous requirements solicitation and assessment 


Development of work flows to improve cross-functions
Access Control


Establish and maintain portfolio of user profiles with rights 


Ensure compliance in terms of rights and segregation of duties 


Ensure legal, regulatory and statutory compliance 


Develop and own procedure and process for assignment of rights 


Monitor and document profile activity according to risks inherent to rights

 
Super User Support 

Identify and support Super users across the organisation 


Initiate and coordinate training 


Supplement capacity (where required)

 
Change Control

Establish and maintain policy, process and procedure 


Establish a classification of changes, approval protocols and service level in terms of this 


Manage the change control process.

 
Key Performance Areas: 

Deliver services on internal customer expectations and Client standards by ensuring the Service Level Agreement, Operational Level Agreements , Contractual Agreements, and project schedules are met as stipulated 


Advise and consult to internal customers by providing professional solutions that meet the requirements of business needs. Ensure that Professional support and related solutions demonstrate a balance of best of breed and return on investment for the business 


Ensure that quality projects / processes / systems delivered on time and are fully aligned to Client's business requirements 


Provide agreed information, resources, professional advice and strategic contribution to relevant stakeholders on time, in budget, within quality standards 


Monitor and manage client, service providers/ vendors, partners and other stakeholder expectations 


Select and apply appropriate professional frameworks, methods/ supporting technologies in line with agreed architecture and expected return on investments 


Optimise value by identifying and effectively managing risks arising from department 


Ensure risks are mitigated by fully complying with standards, policy and regulatory requirements and the implementation of appropriate actions 


Optimise the effective utilization of resources, systems, processes and practices resulting in increased productivity though delegation of tasks and monitoring of deliverables 


Improve productivity and smooth day-to-day operations by ensuring that work is allocated appropriately and according to skills, availability and time lines 


Manage business operations for area of responsibility by ensuring quality and timeous decision making to solve problems, correct actions and improve team / department results 


Optimise and improve systems and work processes to drive productivity and reduce cost (own & corporate initiatives) 


Resolve red audit findings and reduce repeat findings 


Ensure project delivery by managing a portfolio of projects end to end 


Optimise effectiveness of resources, systems etc. through effective communication and relationship networks upwards, downwards, and sideways & outward 


Negotiate and select technology's/ methodologies/frameworks in line with the architectural standards and/or Client Business Strategy 


Deal with under performance of all individuals in area of responsibility by holding first line managers accountable for leadership and business results 


Identify areas of resource inefficiencies and promote optimisation through promoting multi-skilling and addressing capacity gaps by reviewing and improving work processes.

 
Essential Qualifications:

Tertiary Qualification/ formal accreditation in Professional field.

 
Preferred Qualifications: 

BSC Computer science or BComm Information Technology or Post graduate management qualification (MBA or equivalent)

 
Job Related Experience: 

3 years' experience in the management of ERP System Support 


Experience in the planning and roll out (end to end) of a SAP project with workflow would be a strong recommendation

 
Technical Competencies:

Management information and reporting principles, tools and mechanisms

Road mapping, proactive maintenance , high availability, license management, RSS, cost to service
