RoleDescriptionBid Manager Bedfordview, Johannesburg, Gauteng Salary dependent on level of experience. A newrole for a bid manager has become available within a Technology services company. Job Function: Youwill be responsible for managing bids in response to Request for Proposals from customers. BidManagers orchestrate the creation of the solution and proposal as ‘Bid Project Managers’ensuring compliance with customer requirements and highlighting the company value proposition. Youwill deal with high volumes of tenders in a stressful and pressurized environment where the teamhave to work together. It is essential to be flexible, understand urgency and priorities. You need aconstant awareness of the deadlines and outstanding information. You will need to be able to copewith a substantial amount of responsibility, remain calm under pressure, and be able to read andinterpret instructions carefully. Job Description: Assemble a Bid Team with the relevantservice, technical, business knowledge required to prepare the bid. Define, schedule, and managethe proposal preparation process Manages and co-ordinates the activities of the proposal team Managebids through the bid process – from Qualification through to Win/Loss Reviews; ensure bids arecomplaint, responsive and complete Reviews complex, high-level multi-BU or strategic requests forproposals (RFPs) Qualification of sales opportunities with core bid team(s) Develops proposal plans,outlines and schedules Runs qualification and kick-off meetings Follows up with BUs on progress ofdeliverable content Reviews deliverables from solution experts according to the companies’ BidOffice best practices and re-writes content where necessary Assemble drafts and review for gaps,edit and re-write as required to ensure client focus Complete a compliance and quality reviewthroughout the process Reviews and assures quality, effective design and layout, formatting andquality assurance of bid documents to company standards Writes cover letters, executive summariesand other related generic information Oversee and coach Bid Administrator and ensures work is doneto the high standard of the company Coordinates/facilitates communication between BUs and is maincontact for BU queries relating to tenders Co-ordinate the preparation of decision documentation forthe approval processes. Provide a regularly updated bid plan to reflect the milestone events andprogress to date Acquire the necessary approvals at each stage of the bid Produce lessons learntreport after each major milestone in the bid cycle Participation in continuous improvement processrelated to Bid Management. Help develop proposals tools, templates and best practice Responsible forproof reading and editing proposal to ensure that a complaint, response and persuasive bid Ensureadherence to company Brand and Regulatory Compliance Project management and all logistical aspectsof the proposal Assist with presentation dry Help develop and rollout proposals workshops andtraining sessions where required Identify risks and mitigate accordingly Understand company businessmodel Manage performance issues and escalations (stakeholders)
Skills and Experience
Requirements: Knowledge of proposal process, organization and delivery Relevant B degree incommerce Project management experience Knowledge on SA government tender processes, PFMA/MFMA supplychain management regulations Management experience Communication skills essential Presentation,leadership and soft skills Attention to detail (layout, formatting of proposal, grammar) Hands-on,proactive person Expert knowledge of Microsoft Word, Excel, PowerPoint Willingness to roll upsleeves and work overtime if deadline requires to do so Understanding of Sales Processes Excellentcommunication skills in English, both written and verbal are a prerequisite Ability to work underpressure Deadline driven and highly organized Deliverable orientated and able to self-manageConfidence to manage teams consisting from CEO to ground level Process and detailed oriented Goodtime management Must be able to manage multiple tasks at a time Passion for doing bids Understandingof South African bidding regulations Project management skills Assertive and tactful Contact: Lieslde Bruyn Liesl.deBruyn@eoh.co.za
