PURPOSE

To effectively provide your Executive with office administrative support, and operational support to the wider team.

CONTEXT

Support the drive towards customer service excellence. The need to be aware of and adhere to BCX regulations, corporate governance and policies. An intimate understanding of BCX culture and structure. The need to be aware of new developments in respect of information technology in order to remain competitive in a highly paced and complex environment.

ROLES

Administrative Support
•Answering calls and liaising with clients competently
•Preparing correspondence on your Executive's behalf
•Delegating work in your Executives absence
•Diary management
•Planning and organising meetings
•Organising travel and preparing complex travel itineraries
•Attending meetings
•Taking action points and writing minutes
•Preparing papers for meetings
•Taking dictation
•Planning and organising events
•Conducting research
•Drafting communications on your boss's behalf
•Preparing presentations
•Managing and reviewing filing and office systems
•Typing documents
•Sourcing and ordering stationery and office equipment
•Managing projects
•Ensure timeous sign off / approvals / scanning / filing / feedback to documents, contracts, emails



Operational Support
•Sales support
•Ensuring customers are billed on time and correctly, revenue assurance
•Ensuring sales team are aware of and follow correct Business Development engagement process
•Assist with information gathering and consolidation of RFPs and Tenders
•Assist with organisation of sales engagements
•Documentation & collateral management

Job Requirements -


EDUCATION
•Grade 12, NQF level 4
•Administration Certificate or Diploma Advantage
